There is a spreadsheet that runs a critical part of the business and one person understands it. The same customer detail is typed into three different systems. Somebody spends a morning every week copying information between tools. You pay for software per seat and use about a fifth of it.
None of those are software problems exactly. They are the gap between how your business works and how the tools you bought assume it works. That gap is what a custom system closes.

What owning it outright actually means
Per-seat software gets more expensive exactly when you succeed. Twenty people on a forty-dollar seat is nine thousand six hundred dollars a year, forever, for software you cannot change and do not own. A custom system costs more the first year and less every year after.
More importantly, the data is yours and it is in your database. You are not exporting a CSV and hoping. If you decide to work with someone else later, the code, the database and the hosting accounts transfer to you and nothing is held back.
What it costs
A straightforward console sits inside the Premier package, which starts at $3,500 one-time plus care from $299 a month. A full custom system, with your own records, roles and connections to the software you already run, starts at $7,500 and is quoted to scope.
Scope is where the honesty matters: we would rather build the small version that solves the actual problem than the large version that impresses in a meeting.
You get the figure in writing, with what each piece includes, before you agree to anything.
What we don't do
- We don't charge per seat. Add users without the price going up.
- We don't rebuild what already works. If your accounting system is fine, we connect to it rather than replacing it.
- We don't build the whole thing before you see it. You get working pieces along the way, so a wrong assumption is caught in week two rather than week ten.
- We don't hold the keys. Code, database and hosting accounts are yours and transfer at launch.

No. Add as many people as you want without the price changing. That is one of the main reasons a custom system gets cheaper than licensed software as a team grows.
It is yours and it stays in your database, which is in your hosting account. Code, data and accounts transfer to you and nothing is held back. You are not exporting a spreadsheet and hoping it contains everything.
Yes, and that is usually the point. Each customer sees their own records, documents, invoices and history, and nothing belonging to anyone else. Which roles can see what is decided with you up front and enforced on the server, not just hidden in the interface.
It is built to be: access checked on every request rather than trusting the browser, passwords stored properly, encrypted connections, and permissions enforced at the database level. No honest developer will tell you any system is unbreakable. What we will tell you is exactly what is stored and who can reach it.
Usually yes. QuickBooks and most established accounting systems publish a way for other software to talk to them, which lets customers, invoices and payment status stay in step without anyone retyping. We connect to your accounting system rather than trying to replace it.
Expected, and normal. Care plans include a set amount of change each month, and larger additions are quoted when you want them. Because the system is yours, you are also free to have someone else make changes, though most clients would rather we did.
Eight to sixteen weeks for most, depending on how much it has to connect to. You see working pieces along the way rather than everything at the end, so a wrong assumption gets caught in week two instead of week ten.
